BACKGROUND:
In 2018 the Police Department entered into a 5-year agreement with Mark 43 to provide a new Law Enforcement Records Management System. Today, Mark 43 serves as the Records Management System as well as the Property and Evidence Management System. The original 5-year agreement expires at the end of December 2023 and the Police Department is seeking to renew the Mark43 service agreement for another 5-year period.
The first year of this agreement is in the amount of $162,441.77 and four additional years in the amount of 168,449.60 for a total amount not to exceed $836,240.17.
FINANCIAL IMPLICATIONS:
The agenda item aligns with the council's objective of utilizing technology to provide efficient and effective police reporting, case management, and property/evidence management processes as well as ensure compliance with the mandatory National Incident Based Reporting System (NIBRS). The allocated budget for this item is in the specified Police Departments account (201001-61350)
A 10% contingency has been added to the total requested approval amount for inflationary and other operational enhancements that may or may not be needed during the term of this agreement.
STAFF RECOMMENDATION/ACTION DESIRED:
Staff recommends City Council approve this expenditure for The Renewal of Mark43 Police RMS Licensing Subscription for a total amount not to exceed $162,441.77 for the first year and a five year total not to exceed amount of $836,240.17.
