Consider Approval Of A Bid Award For The Planting Of Trees For Various Projects To Multiple Vendors In An Amount Not To Exceed $130,000.

BACKGROUND:
A sealed Request For Approval was issued for the planting of trees at various sites in the city in conjunction with various projects. The trees will be planted in the R.O.W. and medians at the various ‘entry’ locations into Carrollton as part of Council’s Strategic Goals. The locations are as follows: Rosemeade Parkway at Marsh Lane, Rosemeade Parkway at Kelly Blvd., Kelly Blvd. at Old Mill Road, Midway Road and Trinity Mills, Marsh Lane at Trinity Mills and Frankford Road at BNSF Railroad. Further, as part of the Corridor Tree Plantings, replacement trees will be planted throughout the City to replace those that have died or have been damaged throughout the seasons.
The price agreement includes both the labor and material, will free up staff to work on other projects, requires the contractor to gather the required materials, and will require the vendor to give the City plant guarantee on all plants for one-year if maintained properly.
A sealed Request For Approval was advertised and publicized, and a total of three vendors responded. This bid specifications includes an option to renew for two additional one-year periods if mutually agreed upon.
FINANCIAL IMPLICATIONS:
The tree planting services on bid # 16-032 will be purchased from budgeted funds for the cost center and amounts as listed below.

STAFF RECOMMENDATION/ACTION DESIRED:
Staff recommends approval of the primary bid award to Fannin Tree Farm and a secondary bid award to SRH Trees Inc. in a combined amount not exceed $130,000. These vendors are considered by staff to be the “best value” vendors.
