Consider Approval Of The Purchase Of Four (4) Trucks For Various City Departments From Chastang Ford Through An Inter-Local Agreement With BuyBoard In An Amount Not To Exceed $234,616.00.

BACKGROUND:
Fleet Services is requesting the purchase of four (4) trucks assigned to the Athletics and Traffic departments. The recommended purchase will consist of two different Ford models; one (1) F550 for Traffic and three (3) E350s for Athletics. Three (3) of the vehicles will be retired per Fleet's policy on age, mileage, and maintenance. These trucks are used daily for transporting staff and towing trailers and equipment to and from job sites. One (1) truck will be an addition to the fleet as approved in the FY17 budget. The one (1) E350 addition was requested as an ATB in the FY17 budget for the Athletics Department, to be used in their irrigation operations.
Each of these recommended replacements and additions are being made after Fleet Services staff held extensive discussions with operators and managers to properly align vehicle specifications with current business needs.
The trucks are available through multiple cooperatives that the City belongs to and quotes were obtained from each. Staff received quotes for units available through BuyBoard, State of Texas, and Goodbuy. Staff recommends moving forward with the bid from Chastang Ford through BuyBoard. This cooperative entity meets all state of Texas competitive bidding requirements. Texas law authorizes this process so that the City can save the time of developing specifications and avoid the duplication of the competitive bidding process.
